We are seeking an Office Manager to ensure our physical and virtual office runs smoothly with a positive fun-loving culture. The talented individual for this role will have an eye for detail, critical thinking skills for and a team-oriented, personal approach to their co-workers. This role will allow you to have a diverse work experience, grow professionally while working in a fast-paced and supportive environment. This is an in-person position.

The Role

As the Office Manager, you will report directly to the CEO, you will be responsible for keeping the office organized by supporting the needs of the entire office staff. You will work closely with management to oversee companywide organizational flows and best practices. You will be required to execute a wide range of duties related to onboarding, internal company events and day-to-day life in our hybrid office environment. You will set the tone for a caring, fun and efficient workplace by providing employees with resources, tools, and company-wide initiatives.

Overarching duties and responsibilities:

  • Manage and maintain our physical office location
  • Develop, review, and update organizational standards and office procedures and policies
  • Support the implementation of company vision into day-to-day work
  • Monitor and boost company morale
  • Manage office expenses and budget
  • Recommend and implement technology solutions that improve operational effectiveness.
  • Manage office schedules, appointments, equipment, inventory and records
  • Coordinate IT needs, internally and liaise with our IT external company to assist employees to troubleshoot hardware, software, and network systems issues.
  • Coordinate hardware, software, and network systems, including configuring and updating computers, printers, and other hardware.
  • Ensure data security by setting up and maintaining security systems with external IT company
  • Ensure all office applications are up to date and functioning correctly
  • Maintain and update office records, such as inventory and vendors
  • Manage corporate memberships and associations
  • Manage intercompany events and meetings
  • Craft and deliver Intercompany communications
  • Coordinate company shipments and supplies
  • Handle first contact communications in person and via phone and email
  • Support company administrative needs
  • Producing reports, composing correspondence, and drafting new contracts.
  • Create presentations and other management-level reports.
  • Travel on Adventure Canada expeditions as required

Skills & Experience Required

  • 5 Years plus in Office Management
  • University or college degree
  • Proficient in Microsoft Office Suite
  • Demonstrable working history managing projects
  • Customer service focused
  • Excellent communication and customer service skills
  • Detail-oriented and process oriented
  • A love for travel and familiarity with Adventure Canada’s expedition destinations is desirable
  • Creative, diplomatic, and calm under pressure, with fantastic interpersonal skills
  • Ability to think critically, grasp complex concepts, and articulate them in a simple, engaging way
  • Highly engaged team member focused on collaboration
  • Available to support business and social events on occasional evenings and weekends in the Greater Toronto Area
  • Personal commitments towards lifelong education and implementing the Truth & Reconciliation Commission’s calls to action are strong assets
  • Stress Tolerant
  • Comfortable in a small office/family business environment; positive and adaptable to a variety of duties
