HR & Operations Administrator



Adventure Canada is dynamic leader in expedition cruising, bringing our clients to some of the worlds most untouched and remote regions. As an HR & Operations Administrator, you are a member of the HR & Operations team at Adventure Canada. This role has been created to support our Resource Staff who come from multiple disciplines around the world. Resource Staff join our expeditions to provide educational content and experience to the voyages throughout the summer.

In this role, you will provide clear, informative, and supportive communication to our Resource Staff members via phone, email, and in person. You will provide administrative support and carry out all administrative duties related to Resource Staff working with Adventure Canada. This role will be office based. You may be required to travel on an Adventure Canada tour from time to time to support the onboard operation. Travel time will be approx. 10–20 days a year, if necessary.

As the HR & Operations Administrator you are required to provide the highest level of customer service and professionalism. Our Resource Staff are the reason so many of our passengers continue to travel with us. It is therefore important that we are giving them foundational knowledge of what makes Adventure Canada what it is. In your role, you will be the Resource Staff’s ‘go-to’ person! Building rapport, trust, and healthy boundaries are key for the role.

The ability to adapt, embrace, and understand technology in the workplace is a critical element to the job. Technical knowledge of Microsoft Office Suite is imperative. It is expected that your Excel and Word skills are at the intermediate/advanced level. You will be working with 3-5 different technology platforms (Office 365 Exchange, Constant Contact, Synology server, booking database, chat platforms, etc.) on a day to day basis in order to file, source, and communicate information.

Our Ideal Candidate

Strong communication skills are essential in this position. In particular, writing skills are a must. Knowledge and attention to sentence structure, grammar, and spelling are key. Oral communication is also important, as you will be required to speak with each Resource Staff member in a clear, concise, and professional manner. Conflict-,resolution skills, research-based problem solving, and a thinking-outside-the-box attitude is critical in this role.

 

The Role

As an Operations Team member, you will engage in tasks and activities that contribute to the success of the department and the company as a whole. There may be tasks, opportunities, events, social gatherings, and other projects that will require your participation and assistance to get the job done. We encourage a team-based approach in order to provide the best experience possible! As a Resource Staff Specialist your duties and responsibilities will include but are not limited to the following;

  • Create, deliver, and ensure filing of signed contract documents
  • Communicate all deliverables and provide orientation details to team members in advance of expeditions
  • Draft and send information packages
  • Collect and ensure proper storage of required certificates
  • Book flights, accommodation, and required insurance
  • Draft and provide required reporting from the office to the ship (or trip provider)
  • Carry out post-trip communications (survey links, resources, etc as needed)
  • Collect and file staff biographies for the marketing team
  • Compile and coordinate presentation schedules for each trip
  • Provide administrative support for all special guests, media, and partners joining trips
  • Carry out one-on-one chats with all RS and Office Staff and coordinate information provided through proper channels/office teams
  • Attend company events as required to support Marketing, Sales, Client Services and Operations initiatives
  • Contribute to other company projects and goals that may not be a part of your daily tasks— Operations often includes unforeseen situations that require assistance to get the job done!

Skills and Required Experience

  • 2+ years Administrative Experience
  • Demonstrative intermediate Microsoft Office experience
  • Exceptional organizational / time management skills
  • Strong attention to detail
  • Robust written and verbal communication skills
  • Highly professional, polite, polished, positive attitude
